Offer letter vs appointment letter
The offer letter invites the candidate to join; the appointment letter confirms the employment relationship on the joining date. Some companies combine them, but issuing both keeps the audit trail cleaner and gives you a chance to add anything the offer omitted.
Terms that must be spelled out
Probation period, notice period on both sides, reporting manager, salary structure (with a link or attachment to the detailed CTC breakup), working hours, and the applicable HR policies. Ambiguity here becomes disputes later.
Signatures and acknowledgement
Get the employee to sign an acknowledgement copy on day one. Keep the signed copy in the personnel file — it's the primary artefact if any employment term is ever questioned.
