What the Freelance Invoice Generator does

A freelance invoice is a simplified, single-project billing document for independent contractors and sole traders, typically built around hours worked (or a flat fee) at an agreed rate, rather than multi-line itemised billing.

Methodology and formula

Amount due = Hours worked x Hourly rate (or flat project fee), plus any applicable tax the freelancer is required to charge.

Worked example

Inputs
40 hours of design work at $75/hour, no sales tax applicable, Net 14 terms.
Result
Subtotal and total both $3,000, due within 14 days of the invoice date.

Because there's no employer withholding taxes on freelance income, the freelancer is responsible for setting aside their own estimated tax from this payment rather than assuming the full $3,000 is take-home pay.

When to use this tool

Use this for a single project billed at one rate. If you need multiple tasks at different hourly rates on one invoice, use the Hourly Invoice Generator; once the client pays, issue a Receipt as proof of payment.

About the Freelance Invoice Generator

What freelancers should always spell out

Solo freelancers get paid faster when the invoice clearly ties the amount to the work delivered. Include a short project description (2–3 lines), the number of hours, the hourly rate, and the payment terms — 'Payable within 14 days by bank transfer' beats a vague 'thanks!'.

Hourly vs fixed-fee

If you billed a fixed project fee, set the hours to 1 and the rate to the total fee, then use the project description field to summarise the deliverables. If you're tracking multiple tasks, use the Hourly Invoice Generator instead.

Getting paid internationally

Include a currency label, your full bank details (or PayPal/Wise link) in the notes, and the client's full legal business name. Freelance invoices without the client's business name often get bounced by accounts payable teams.

Frequently asked questions

Do I need to be registered as a business to send this?

No. Sole traders and independent freelancers can bill under their own name. Include your tax ID only if your country requires it.

Can I bill in a currency other than USD?

Yes. Enter any currency symbol or ISO code in the currency field and it will render on the PDF.

How do I add multiple projects?

Use the Hourly Invoice Generator or the standard Invoice Generator — this one is deliberately single-project.

Can I save the invoice and edit later?

Not currently. Download the PDF, and keep a copy for your records.
