When to issue a hike letter

Issue a formal letter whenever compensation changes: promotion, market-rate correction, retention offer, or an annual increment. A verbal confirmation is easy to dispute months later; a signed letter is not.

Frame the reason clearly

Employees want to understand why. 'Recognition of consistent overachievement in Q1–Q3' lands very differently from a bland 'annual increment'. Use the reason field to make it personal.

Effective date and back-pay

Be explicit about the effective date. If there is any back-pay for the interim period, mention when and how it will be paid — either in the letter or the accompanying email.
