What the Recurring Invoice Generator does

A recurring invoice is a template invoice reissued on a fixed schedule — weekly, monthly or quarterly — for retainers, subscriptions and ongoing service contracts, with the next due date calculated automatically from the billing frequency.

Methodology and formula

Next due date = Current invoice date + 7 days (weekly), + 1 calendar month (monthly), or + 3 calendar months (quarterly).

Worked example

Inputs
Monthly retainer of $1,200, invoice dated the 1st of the month, monthly frequency.
Result
Next due date automatically calculated as the 1st of the following calendar month.

Billing on the same calendar date every cycle removes ambiguity for the client's accounts team, who can set up a standing payment rule once they see the pattern repeat twice.

When to use this tool

Use this for ongoing retainer or subscription clients billed on a fixed cadence. Use the Hourly Invoice Generator if the amount changes each cycle based on hours worked, and a Quotation first if pricing hasn't been agreed yet.

About the Recurring Invoice Generator

Retainer billing done right

For monthly retainers, invoice on the same date each month (e.g. the 1st or the 15th). Consistency reduces payment friction and makes it easier for the client's accounts team to schedule the payment.

How the next due date is calculated

Weekly adds 7 days, monthly adds one calendar month, and quarterly adds three calendar months to the current invoice date. Use it as a reminder — you'll want to actually resend the invoice each cycle, either from this tool or your accounting software.

When to graduate to real recurring billing

If you're managing more than 5–10 recurring clients, move to a tool with automated recurring invoices and payment collection (Stripe Billing, Wave, FreshBooks). This generator is ideal for freelancers and small agencies with a handful of retainer clients.

Frequently asked questions

Does this actually send the invoice on a schedule?

No — it calculates the next due date and gives you a PDF. You send it manually. Full automation requires a subscription billing tool.

Can I change the frequency later?

Yes. Change the frequency and the next due date recalculates automatically.

Does it support annual billing?

Quarterly is the longest built-in frequency. For annual, add 12 months to the invoice date manually in the notes.

Will the invoice number auto-increment?

Not automatically — enter the next number in the sequence each cycle.
