What the Hourly Invoice Generator does
An hourly invoice bills a client for multiple discrete tasks, each recorded with its own hours and hourly rate, then summed into a single grand total — the standard format for consultants and agencies billing time-based work.
Methodology and formula
Line total = Hours (to 2 decimal places) x Hourly rate for that line; Invoice total = Sum of all line totals + Tax, where tax is applied to the summed subtotal.
Worked example
- Inputs
- Strategy 6h at $150/hr, execution 20h at $90/hr, after-hours support 3h at $180/hr.
- Result
- Line totals $900 + $1,800 + $540 = $3,240 subtotal before tax.
Billing the three types of work at different rates on one invoice is clearer for the client than splitting it into three invoices, and it makes it obvious where their budget is actually being spent.
When to use this tool
Use this when a single client has multiple tasks at different rates in one billing period. For a single project at one flat rate, the Freelance Invoice Generator is simpler; for retainer clients billed on a fixed schedule, use the Recurring Invoice Generator.
About the Hourly Invoice Generator
Time tracking to invoice
Export your tracked hours from Toggl, Harvest, Clockify or a spreadsheet, then transcribe each task into a line item here. Grouping similar tasks (e.g. 'Design revisions — 4.5h') is usually clearer for the client than a per-day timesheet.
Different rates for different work
Because each row has its own hourly rate, you can bill strategy at one rate, execution at another, and after-hours support at a third — on the same invoice. This is much cleaner than sending three separate invoices.
Rounding
Hours are stored to two decimals (e.g. 1.75 = 1 hour 45 minutes). Line totals are calculated exactly and only rounded at the invoice grand total.
