A quotation is an offer — no payment is due. A proforma invoice is a preliminary bill sent before delivery, often to open a purchase order. A full invoice is a legal demand for payment. Use the right document for the right stage of the deal.
Setting a validity period
Most quotes are valid for 14 to 30 days. Beyond that your input costs may change. Put the validity date clearly at the top so the client understands they need to act before it lapses.

Include a short scope summary above the line items and payment terms below them. Clients accept quotes faster when they can see what's included, what's excluded, and how payment will work — without having to ask.
