What the Quotation Generator does

A quotation is a formal, non-binding price offer for goods or services not yet delivered, issued with a validity date after which the quoted price may no longer apply.

Methodology and formula

Quoted total = Sum(quantity x unit price for each line item) + Tax, valid until Issue date + Validity period (typically 14–30 days).

Setting a firm 21-day validity window protects the freelancer from having to honour a price after supplier or material costs shift, while still giving the prospect a clear deadline to decide.

When to use this tool

Use a quotation when pricing is being offered but no order has been placed. Once the buyer wants to raise a purchase order before delivery, switch to a Proforma Invoice; once work is delivered, issue a real Invoice.

Setting a validity period

Most quotes are valid for 14 to 30 days. Beyond that your input costs may change. Put the validity date clearly at the top so the client understands they need to act before it lapses.

Yes — always show tax on the quote so the client sees the true out-the-door price.

Can I have quotes numbered separately from invoices?

Yes. Most businesses use a Q- prefix for quotes and INV- for invoices.
