What the Receipt Generator does

A receipt is proof that a specific payment was received, recording the payer, amount, date and payment method — distinct from an invoice, which requests payment that hasn't yet been made.

Methodology and formula

Receipt total = Amount actually received (not the original invoice amount if payment was partial), tied to a receipt reference number and, where relevant, the original invoice number.

Cross-referencing the original invoice number on the receipt lets both parties' bookkeeping reconcile the payment to the original charge without any additional correspondence.

Receipt vs invoice

An invoice requests payment. A receipt acknowledges that payment has been made. If a client asks for 'proof of payment', they need a receipt, not another invoice.

What a good receipt shows

The payer's name, the amount, the date the money was received, the payment method (cash, bank transfer, card, UPI, PayPal, etc.) and a reference (often the original invoice number). Keep it short — receipts should fit on a single page.

Do you need receipts if you already have bank records?

For your accounting, bank records are usually enough. But your clients still need receipts for their own bookkeeping — many will require one before releasing the next tranche of work.

Is a receipt legally required?

In many jurisdictions, receipts are required for cash payments and can be requested for any transaction. Rules vary — check your local tax authority.

Should the receipt number match the invoice number?

It's cleaner to have separate sequences — e.g. RCP-001 — with the original invoice number listed in the reference field.

Can I issue a receipt for a partial payment?

Yes. Enter the exact amount received and note 'part payment' in the notes.
